The challenge of becoming more efficient on the job is an age-old problem that has always plagued business owners and managers. Whether it’s getting a new employee acclimated and trained or handling a complaint from a customer, you’re always going to have distractions. But the office manager or entrepreneur who plans ahead and takes control of his day can expect to accomplish more. That said, here are some ways in which you can become more productive at the office.
Establish Clear Objectives
Create both short-term and long-term goals, but place emphasis on the immediate objectives so you can complete more projects. Establishing goals too far beyond the completion of a project can hinder performance. Once goals are set, communicate these initiatives to employees, even if you have to schedule a meeting to explain the purpose of a project. The more straightforward you are in conveying how you want things done, the greater it will enhance work performance.
Small companies often struggle with getting initial systems up and running. Supplies need to be ordered, bills need to be paid and customers’ questions must be handled. The best way to automate certain procedures is to select a point person for each function. Put the executive secretary in charge of ordering copy paper, pens and notepads, for example, and designate a certain day each week as the deadline for placing these orders. Create a single form for employees to send to accounts payable when they need to pay vendors.
Limit and Shorten Meetings
Though meetings are a necessity for ensuring optimal work performance, limit them to an hour or half hour, depending on their purpose. In addition, devise an outline for the meeting and designate a specific timeframe for each topic. All individuals that make up a team must become more efficient for the team to operate in a like manner, according to Inc.
You’re going to get very little done if you keep doing a little bit here and a little bit there. Instead, as an office manager, for example, spend more time completing tasks toward one project before moving on to tasks for a second one.
You can only attain optimal work performance if you delegate certain tasks to subordinates. Start with small tasks. Once employees prove they can complete the more menial tasks on time, give them more responsibilities. A well-run workplace is one that operates on all cylinders, maximizing synergies of talent for the good of the company.
